Our Client

Our client for this position is a very well known luxury goods company with an office in Miami dedicated to the Latin American and Travel Retail markets.

Objective

This position is responsible for the professional and efficient managing of visitors, telephone calls and messages, as well as a variety of clerical duties that support costumer services, information and referral and the operation and presentation of a professional office.

The ideal profile for the role is someone who is currently studying an dis willing to step in the fashion and luxury goods industry or someone with more experience as a Receptionist looking for stability in these uncertain times.

Job Description

  • Receive and direct all visitors to the correct person in the Organization
  • Manage all telephone calls and messages, directing them to the right person and following up appropriately
  • Receive, classify and distribute all incoming mail and couriers
  • Prepare all outgoing couriers. Ensure timely preparation not to miss pick-up time. Coordinate deliveries to consolidate when possibly. Identify sender and cost center to track expenses and prepare monthly report to Finance
  • Keep the Reception Area always clean and tidy
  • Manage relationship with the building management to provide all necessary maintenance, key copies, parking decals, access cards and parking stamps, etc.
  • Coordinate with building management all repair and maintenance needs
  • Keep updated schedule for the Video Conference Room and the Meeting Room
  • Ensure Conference Rooms are always clean and ready to be used
  • Set up projectors and video conference room when needed. Set up the video conferences, operate and program the video equipment and projectors
  • Assist in the organization of meetings in the office, ensuring the rooms are ready to be used, all needed equipment and supplies are ready, lunch/snacks have been ordered, etc.
  • Periodically update extension list file of the Miami office and distribute to users in the office, in NY and in the Affiliates. Likewise, update names and contact information of key users in the three Affiliates in a local file
  • Keep updated database of hotels and restaurants in the Area. Negotiate tariffs with hotels and restaurants
  • Assist with all hotel and restaurants reservations needs
  • Organize activities for the birthdays of the month (lunch, happy hour, cake in the office). Buy birthday gifts for employees
  • Process and maintain extension tree (Telephone System)
  • Reset passwords for new users (Telephone System)
  • In charge of updates and general maintenance of the system and to support users to program basic functions (voice mail, numbers in memory, forwards calls, etc.) (Telephone System)

Requirements

  • Very good presentation and communication skills
  • Good knowledge of MS Office is very well appreciated
  • Appreciated previous industry experience: Wine & Spirits, Luxury Goods, Consumer Goods, Food and Beverage, Travel Retail, Consumer Electronics, Fragrances, Cosmetics, Watch & Jewelry
  • Fluent in English and Spanish (French would be a strong plus)
  • Up-to-date work authorization (US Citizenship, Green Card, renewable H1B visa…)

Compensation

  • $12 to $13 hourly base salary
