Our client:

Our client for this position is a very well known luxury goods company with an office in Miami dedicated to Latin America and the Caribbean.

 

Job Description:

 

Title: Latin America & Caribbean Office Manager.

Location: Miami, FL.

Reporting to: Sales Director Latin America & Caribbean.

 

Objective:

Responsible for running the administrative duties of the office as well as giving a support to Sales and Marketing teams.

 

Ideal Profile:

Very experienced administrative professional with excellent computer skills, great communication and good understanding of the luxury goods industry.

Main Responsibilities:

In charge of commercial support for the Sales Director for Latin America and Caribbean.

 

  • Office contact for the retailers for availability, prices, aftersales and logistics requests. Backup for the traveling sales staff.
  • Office contact with the HQ Marketing department.
  • Office contact with HQ.
  • Production of the ad-hoc analysis required by Sales and Marketing, including customer satisfaction and after sales activity.
  • Assess the organization effectiveness, propose evolution to adapt to the activity growth and implement changes once approved by the area manager and corporate.
  • Administrative ad hoc follow up of A/R.
  • Other administrative support.

In charge of Logistic follow up of the activity: in coordination with HQ’s Operation Manager.

  • Purchase plan with HQ marketing Department for the designated markets follow up : administrative support of the Area Manager during the budget, ordering, portfolio confirmation and deliveries processes.
  • Follow up of the retailers portfolios, requests and deliveries for the markets.
  • Follow up of the delivery process from HQ’s Marketing Department to the retailers : pickup coordination, paperwork control, inventory management (at the retailer’s location).
  • Follow up of the flow of repairs sent back to Europe.
  • Coordinate special events involving presentation of pieces sent from Europe or the US.
  • Production of activity reports : sales, open portfolios, retailers inventories, open purchases, delays, logistic issues.
  • Analyse the system effectiveness and participate to the design of solutions, including after sales activity.

In charge of the local application of HQ administrative rules: in coordination with HQ Finance Director.

  • Implementation and respect of the proper finance workflow.
  • Administrative HR support.

Local office manager.

  • Daily running of the office, including hierarchical representation of the Area Manager when away.

 

 

Requirements:

 

  • 3 to 5 years experience in a similar position.
  • Excellent organization skills.
  • Very computer literate (especially MS Excel).
  • Good analytical skills.
  • Bilingual English + Spanish
  • UP-TO-DATE US work authorization (US Citizenship, Green Card, H1B with more than 3 years possible renewal).

 

 

Compensation:

 

  • 60k base salary.
  • Full benefits package.
